Where a print job actually dies
A page has to survive four stages. Knowing which one failed tells you what to fix:
- The printer itself — powered, no jam, has paper, has usable ink or toner.
- The connection — the computer can reach the printer over USB or the network.
- The queue and driver — the operating system accepts the job and translates it into something the printer understands.
- The application — the program you're printing from produces a valid job.
Nearly every wasted afternoon with a printer comes from working on the wrong stage. People reinstall drivers when the printer's IP address changed; people buy cartridges when a sensor is stuck. Five minutes of ordering saves all of that.
The test that splits the problem in half
Print a self-test or configuration page from the printer's own control panel — no computer involved. Almost every printer can do this; look for it under Settings, Reports, Information, or Tools on the front panel. On models with only a couple of buttons it's usually a press-and-hold on the power or feed button (check the manual, or search your exact model plus "self test page").
This one action tells you a great deal:
- The page prints, and looks fine. The printer, its paper path, and its ink are all working. Your problem is stage 2, 3, or 4 — skip straight to the connection and queue sections below. Do not reinstall anything yet.
- The page doesn't print at all. The problem is the printer itself. Go to the next section.
- The page prints but looks bad — streaks, missing colours, faint text. The printer is receiving and printing; the issue is heads, ink, or toner. Jump to the quality section.
If the configuration page includes network details, keep it — that's where the printer's current IP address is, and you'll want it shortly.
If the self-test fails
The printer can't print on its own, so nothing you do on the computer matters yet.
- Read the display. Obvious, but people skip it because printer error messages are often vague. "Paper jam" with no visible paper usually means a torn scrap is still in the path, or a sensor flag is stuck. Open every door, including the rear access panel and the duplex unit, and look for a fragment.
- Take the paper out and reseat it. Fan the stack, square it, and don't overfill the tray. Damp or curled paper — common if the paper has sat in a humid room — will misfeed repeatedly.
- Check the cartridges are actually seated. A cartridge that isn't clicked fully home reads as missing. Remove and reinsert each one until it latches.
- Power-cycle properly. Turn the printer off with its own power button, unplug it from the wall, wait a full minute, plug it back in. Unlike the "have you turned it off and on again" cliché, this genuinely matters for printers: it clears the internal memory where a stuck job or a phantom error can sit.
- Look for a transport lock. On a newly unboxed printer, orange tape and shipping locks are a routine cause of "brand new printer doesn't work."
If the self-test still fails after all of that, the fault is in the printer and it's a repair or replacement decision — not a software problem.
If the printer is fine but the computer can't reach it
This is the single most common cause on wireless printers, and it's almost never diagnosed correctly.
The IP address problem
Most home networks hand out IP addresses automatically, with a lease that expires. When your router reboots after a power cut, or the printer sleeps for a long weekend, the printer can come back with a different address. Your computer is still trying to reach the old one, so it reports the printer as offline while the printer sits there perfectly healthy.
Symptoms that match this exactly: it worked for months, then stopped for no reason; the printer's own screen says it's connected to Wi-Fi; the printer works from a phone but not the laptop, or vice versa.
The fix, in order:
- Get the current IP from the configuration page you printed earlier.
- Type that address into a browser on your computer. If the printer's own web interface loads, the network path is fine and only your computer's saved entry is stale — remove the printer from your system settings and add it again.
- Then make it permanent: in your router's settings, create a DHCP reservation for the printer (sometimes called "static lease" or "address reservation"), or set a static IP in the printer's own network menu. This stops the problem recurring, which is the part most guides never mention.
The band problem
Many printers — including recent ones — only support the 2.4 GHz Wi-Fi band. If your router presents 2.4 and 5 GHz under one network name, setup can fail confusingly, because the phone doing the setup is on 5 GHz. If your printer won't join the network at all, temporarily splitting the bands into separate names, or connecting the phone to the 2.4 GHz network during setup, usually resolves it. If it's USB
Try a different port, ideally directly on the computer rather than through a hub or dock. Try a different cable — printer USB cables get crushed under desks and fail intermittently. On a laptop with only USB-C, a cheap adapter is a genuine suspect.
If the job disappears into the queue
You press print, nothing happens, and the job either sits there or vanishes. The printer is reachable; the software layer is stuck.
Clear the stuck job
One failed job at the front of the queue blocks everything behind it, including jobs you've long forgotten about. Open the print queue — on Windows, Settings → Bluetooth & devices → Printers & scanners → your printer → Open print queue; on macOS, System Settings → Printers & Scanners → your printer → Printer Queue — and cancel every pending job, not just the newest.
Restart the print service
On Windows, the Print Spooler service handles all printing and it does get stuck. Open Services (press Windows + R, type services.msc), find Print Spooler, right-click, Restart. This resolves a large share of "job stuck at 'Deleting'" cases.
On macOS, right-click (or Control-click) in the printer list in System Settings and choose Reset printing system. Note that this removes all your printers and you'll add them back — it's heavy-handed, but it reliably clears corrupted state.
Check you're printing to the right printer
Worth thirty seconds: systems accumulate duplicate entries — "HP LaserJet", "HP LaserJet (Copy 1)", "HP LaserJet (Fax)" — and the default can silently be one that doesn't exist any more, or the "Microsoft Print to PDF" entry. Delete every duplicate and keep one.
Isolate the application
If one program won't print but others will, the problem is that program, not the printer. Two quick tests:
- Print the same document to PDF instead. If that also fails or produces a broken file, the document itself is the problem — a corrupted image or font inside it.
- Open the PDF and print that. If the PDF prints fine, the original application's print path is broken; try printing as image if the dialog offers it, which bypasses the font handling that usually causes this.
Drivers — last, not first
Reinstalling the driver is where most people start and it should be near the end. When you do it, remove the existing printer entry first, then install the driver from the manufacturer's own support site for your exact model. The generic driver that the operating system installs automatically works for basic printing but often loses duplex, tray selection, and colour management.
Ink and toner: what's real and what isn't
- "Empty" is an estimate. Most cartridge levels are calculated from page counts, not measured. A cartridge reported as empty frequently has usable ink left. Many printers let you acknowledge the warning and keep printing.
- But a refusal to print is usually deliberate. Many printers stop entirely when one cartridge reads empty — including refusing black-only jobs when a colour is out. Annoying, and generally not a fault.
- Third-party cartridges are a real gamble. They work in plenty of printers and are rejected outright in others, particularly after a firmware update. If printing stopped right after your printer updated itself and you use compatible cartridges, that's very likely your cause.
- Toner can be revived briefly. If a laser printer is fading, take the toner cartridge out and rock it gently side to side to redistribute the powder. This buys you a few dozen pages, not a reprieve.
- Dried heads are the inkjet killer. An inkjet that sits unused for months will clog. Run the printer's head-cleaning cycle — twice at most, since each cycle uses a surprising amount of ink — and if it doesn't recover, the cartridge or head is done. If you print rarely, a laser printer is a better fit than an inkjet for exactly this reason.
It prints, but it looks wrong

Print a self-test page from the printer's own panel. It prints → the printer is fine; check the connection (IP changed?) and clear the queue. It doesn't print → it's the printer; check jams, paper, cartridge seating, and power-cycle from the wall. It prints badly → heads, toner, or calibration. Reinstall the driver last, not first.
